Tiksoo ("we," "us," or "our") operates the Tiksoo phone monitoring service. This Privacy Policy explains how we collect, use, and protect your information when you use our service.

1. Information We Collect

We collect information you provide directly and information generated through your use of the service.

Account information

  • Email address and password (or Google OAuth token if you sign in with Google)
  • Phone numbers you add for monitoring
  • Notification contacts (names, phone numbers, email addresses) you configure for alerts
  • Monitoring schedules and threshold settings

Call and monitoring data

  • Baseline audio recordings of your phone numbers, used as reference files for fingerprinting
  • Test call recordings and acoustic analysis results
  • Call timestamps, durations, and match scores
  • Alert history and delivery status

Usage and technical data

  • Browser type, IP address, and device information
  • Pages visited and features used within the service
  • Session cookies and authentication tokens

2. How We Use Your Information

  • To place automated test calls to your monitored phone numbers on your chosen schedule
  • To perform acoustic fingerprinting and detect failures
  • To send SMS and email alerts when failures are detected
  • To display monitoring history, match scores, and status on your dashboard
  • To process subscription payments and manage your account
  • To respond to support requests
  • To improve the reliability and performance of the service

We do not sell your data. We do not use your call recordings for any purpose other than providing the monitoring service to you.

3. Third-Party Service Providers

We use the following third-party services to deliver Tiksoo. Each acts as a data processor under your instruction:

Twilio

Handles all outbound call placement and call recording. Your phone numbers and baseline audio are processed through Twilio's infrastructure. Twilio is subject to their own privacy policy and is HIPAA-eligible when configured appropriately.

Mailgun

Handles transactional email delivery, including alert notifications, password resets, and account emails. Email addresses used for notifications are transmitted to Mailgun for delivery.

Stripe

Handles subscription billing and payment processing. We do not store your full payment card details — all payment data is handled directly by Stripe and subject to their privacy policy and PCI-DSS compliance.

Google (OAuth)

If you choose to sign in with Google, your Google account email is used to create and authenticate your Tiksoo account. We do not access any Google data beyond your email address and profile name.

4. Call Recordings and Data Retention

Baseline recordings are stored for as long as your phone number is active in the system. They are used solely for acoustic comparison during test calls.

Individual test call recordings are retained for 90 days by default, after which they are automatically deleted. Match scores and pass/fail outcomes are retained indefinitely as part of your monitoring history.

When you delete a phone number or close your account, all associated recordings and monitoring data are deleted within 30 days.

5. Cookies

We use session cookies for authentication and CSRF protection. We use a preference cookie to remember your theme selection (light or dark mode). We do not use tracking cookies or third-party advertising cookies. No analytics platform is embedded in the service at this time.

6. Data Security

We use industry-standard security practices to protect your data, including encrypted connections (HTTPS/TLS) for all data in transit. Passwords are hashed and never stored in plain text. 7. Your Rights

Depending on your location, you may have the following rights regarding your personal data:

  • Access — Request a copy of the personal data we hold about you.
  • Correction — Request correction of inaccurate data.
  • Deletion — Request deletion of your account and associated data.
  • Portability — Request an export of your monitoring data in a machine-readable format.
  • Objection — Object to processing of your data in certain circumstances.

8. Children's Privacy

The Service is not directed at individuals under the age of 18. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, contact us and we will delete it promptly.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes by email or by posting a notice in the service. Your continued use of the service after changes become effective constitutes acceptance of the revised policy.
